Reporting to the Sr. Manager of Procurement, the Subcontracts Administrator will prepare subcontracts and change orders and ensure all contract files are maintained. Will work closely with engineering and construction, and must also consult with outside vendors in order to obtain quotes, ensure security of pricing information and obtain approval of proposal evaluations and award recommendations. Will work with IS Networld to ensure all requirements have been met to pre-qualify Subcontractors.


  • Prepares Subcontractors list and ensures all contract files are maintained
  • Coordinate with IS Networld to ensure requirements are met
  • Prepares and develops contract standard documents (such as the request for proposal)
  • Receives and evaluates proposal
  • Ensures security of pricing information and obtains approval of proposal evaluations and award recommendations
  • May conduct proposal clarification meetings
  • Prepares contract documents
  • Loads and manages contract information in Dexter-Chaney’s Spectrum ERP system
  • Supports management of assigned contracts and conducts jobsite meetings with contractors
  • Provides contract and timely documentation of changes
  • Receives and distributes contractor-related correspondence
  • Reviews contractor claims and back charges.
  • Coordinates receipt, verification and approval of contractors' invoices
  • Maintains and issues contract status reports
  • Coordinates the acceptance of work
  • Completes and distributes evaluation forms


  • High school diploma required
  • 5+ years’ experience directly related to contract/subcontract administration on EPC projects
  • Advanced skills in Microsoft Outlook, Excel, and Spectrum ERP system
  • Excellent interpersonal and communications skills
  • Professional, ethical team player
  • Ability to multi-task in an environment of changing priorities
  • Excellent verbal and written communications skills
